Answers to common questions about working with us, our services, and what to expect.
General
Where is PrudenTax located?
Our office is at 14115 Round Prairie Ln, Frisco, TX 75035. We meet clients by appointment, and we also serve clients across the U.S. remotely through our secure client portal.
Do you work with clients outside Texas?
Yes. Federal tax law is the same everywhere, and we're equipped to prepare returns in all 50 states. We work routinely with clients across the country — onboarding, document exchange, and review meetings are all handled remotely.
How do I become a client?
Reach out via our contact form or call us. We'll schedule a short introductory call to understand your needs, share a quote, and — if there's a fit — get you set up in our client portal within a few days.
What languages do you speak?
We work primarily in English. Please contact us if you need accommodations for other languages and we'll do our best to help.
Individual tax preparation
When should I send my documents?
As soon as you have them. W-2s arrive by January 31, most 1099s by mid-February, and K-1s typically by mid-March. Earlier submission means earlier review, fewer extensions, and faster refunds. If we're filing for you, send everything in batches as it arrives — we'll let you know when the file is complete.
What if I'm missing a document?
No problem. We can usually pull missing W-2s, 1099s, and prior-year transcripts directly from the IRS once we have a Power of Attorney on file. If a third party (employer, broker) is late, we'll work around it — often by filing an extension to wait for accurate numbers rather than rushing an incomplete return.
Do I need to come into the office?
Not unless you'd like to. Most clients work with us entirely remotely: upload documents to our secure portal, review the draft return on a video call, and sign electronically. We're happy to meet in person too.
What happens if I file an extension?
An extension gives you until October 15 to file — but not to pay. Any tax owed is still due by April 15 to avoid interest and penalties. We estimate your liability when filing the extension and recommend paying that amount along with Form 4868 to stay safe.
How long does the IRS take to issue refunds?
For e-filed returns with direct deposit, the IRS issues most refunds within 21 days. Paper returns and refunds with EITC or ACTC credits can take longer. Check status at irs.gov/refunds.
Business & accounting
Should I form an LLC or an S-Corp?
An LLC is a legal entity; an S-Corp is a tax election. Most small businesses start as LLCs for legal liability protection. The S-Corp election makes sense once net profit consistently exceeds ~$50,000 — at which point self-employment tax savings start to outweigh the added complexity (payroll, reasonable comp, separate return). We'll model both scenarios for you.
Do you do bookkeeping, or just tax filing?
Both. We offer monthly and quarterly bookkeeping as a standalone service or bundled with tax filing. Clean books make tax time far easier — and far cheaper, since we're not reconciling a year of records at the deadline.
Can you work with QuickBooks?
Yes. We work with QuickBooks Online and QuickBooks Desktop, and we're experienced in setting up new files, cleaning up messy ones, and providing ongoing oversight. We also work with Xero and other accounting platforms.
Do I need to file a Texas franchise tax report?
Yes, if your entity is registered in Texas. Even if you owe no franchise tax (under the threshold), you still must file an annual Public Information Report by May 15. Missing this filing risks forfeiture of your entity's good standing.
Pricing & process
How much does it cost?
Pricing depends on the complexity of your return or business. We quote a fixed fee upfront after a brief intake — no surprise invoices. Simple individual returns start in the low-hundreds; business engagements depend on entity type and bookkeeping volume. Reach out for a personalized quote.
When do I pay?
For tax preparation, we invoice once the return is ready to file and collect payment before transmission. For ongoing engagements (bookkeeping, payroll, advisory), we bill monthly. We accept card, ACH, and check.
Is my information secure?
Absolutely. We use bank-level encryption and a secure client portal for document exchange. We never send sensitive documents over plain email and follow IRS-mandated safeguards (Written Information Security Plan) for all client data.
What if the IRS contacts me after I file?
Forward the notice to us right away. The vast majority of IRS notices are routine (missing schedule, math correction, automated underreporter) and resolved with a single response. For more serious matters, we represent clients through the audit or appeals process.
Can you amend a prior-year return I filed elsewhere?
Yes. We can review prior-year returns for missed deductions or errors and file Form 1040-X if amendments are warranted. The window is generally three years from the original filing date — so don't wait if you suspect an issue.
